- Coordinate day-to-day office activities—managing supplies, equipment, and vendor relationships—to ensure smooth, efficient operations across departments.
- Manage calendars, schedule meetings and travel arrangements for senior management, and serve as primary liaison with clients and internal teams.
- Act as a professional first point of contact—via phone, email, and in person—ensuring timely, courteous handling of inquiries and clear flow of information to relevant teams.
- Assist engineering and consulting teams with project documentation, reports, meeting minutes, status updates, and coordinating across multi-disciplinary teams.
- Oversee office expenditure, prepare budgets, track costs, process invoices, and support finance in expense reporting.
- Maintain organized records and filing systems, develop periodic management reports (weekly/monthly), and manage version‑control of project documents.
- Review office workflows, suggest efficiency improvements, draft SOPs, and ensure policy compliance for administrative and facilities functions.
- Liaise with external service providers (cleaning, maintenance, IT support), oversee office maintenance and space utilization, and coordinate office relocation or refurbishments.
- Oversee junior administrative staff, delegate tasks, provide training and mentorship, and collaborate across functions to support strategic company initiatives.
- Ensure adherence to internal policies and regulatory requirements, maintain strict confidentiality of sensitive documents, and manage data integrity.
