- Provide high-level administrative support to senior management, including the Managing Director or General Manager.
- Manage calendars, schedule meetings, and coordinate appointments across departments and with external stakeholders.
- Act as the point of contact between executives, internal staff, suppliers, and clients.
- Draft, proofread, and manage emails, letters, and other correspondence on behalf of the management.
- Maintain organized filing systems (digital and physical) for contracts, reports, business correspondence, and invoices.
- Prepare presentations, reports, and spreadsheets related to sales, procurement, and inventory.
- Arrange and coordinate internal meetings, vendor discussions, client visits, and industry events.
- Record minutes of meetings and ensure timely follow-up on action items.
- Manage travel arrangements including bookings, itineraries, accommodations, and expense tracking for senior executives.
- Assist in tracking incoming and outgoing shipments of paints and chemicals.
- Coordinate with warehouse and logistics teams to ensure timely dispatch and delivery.
- Maintain communication with key vendors and customers for order follow-ups, quotations, and payment updates.
- Ensure high standards of professionalism in all communications representing the company.
- Handle sensitive and confidential information with utmost integrity.
- Maintain a high level of trust and professionalism in all tasks.
- Support special projects such as new product launches, marketing campaigns, or client acquisition drives.
- Track progress and assist in aligning departmental tasks with executive goals.
- Oversee general office administration and support functions, including supplies, facilities, and vendor contracts.
