- Provide high-level administrative support to the senior management, including scheduling appointments, managing calendars, and organizing meetings.
- Handle incoming calls, emails, and correspondence for the executive team, ensuring prompt responses and appropriate actions are taken.
- Assist in preparing reports, presentations, and other documents required for meetings, business reviews, and presentations with clients or vendors.
- Coordinate with the inventory management team to track stock levels of jewelry and accessories, ensuring that the executive team has up-to-date information on product availability.
- Serve as a point of contact for high-value clients, ensuring exceptional customer service and timely follow-up on orders or inquiries.
- Organize meetings, events, or trade shows, including logistics, invitations, and preparation of materials to support business development or client-facing activities.
- Book and coordinate travel for the executive team, including flight, hotel, and transportation arrangements, ensuring seamless and cost-effective travel plans.
- Monitor and track the executive teams business expenses, process reimbursements, and prepare expense reports for review.
- Handle sensitive company information, financial data, and client information with utmost confidentiality and discretion.
- Oversee the day-to-day operations of the office, ensuring a smooth workflow and addressing any administrative issues that arise.
- Communicate with vendors and suppliers for jewelry sourcing, material procurement, and ensuring timely delivery of materials for production.
- Provide support for various projects and initiatives, assisting with research, gathering information, and coordinating timelines for new product launches or promotional campaigns.
- Assist with addressing customer concerns and inquiries, ensuring high levels of customer satisfaction, especially for premium clients.
