- Greet and assist visitors, clients, and vendors in a professional and courteous manner.
- Manage incoming calls, emails, and inquiries; redirect them to appropriate departments.
- Handle day-to-day administrative tasks including filing, photocopying, scanning, and data entry.
- Coordinate office supplies, stationery, and other admin-related procurement needs.
- Schedule and manage appointments, meetings, and conference room bookings.
- Ensure meeting rooms are set up with necessary materials and refreshments when required.
- Support internal communication by sending circulars, notices, or memos.
- Coordinate with facility management for repairs, maintenance, or housekeeping issues.
- Liaise with vendors for office equipment, housekeeping, maintenance, and supplies.
- Maintain vendor records, bills, and ensure timely payments in coordination with the accounts team.
- Maintain and organize both digital and physical files, invoices, attendance records, and official documents.
- Ensure the front office and administrative functions align with company protocols and pharma industry compliance requirements.
- Assist in organizing internal events, workshops, or pharmaceutical seminars.
