- Handle day-to-day office operations to ensure smooth functioning.
- Maintain and organize office files, records, and documentation (both digital and physical).
- Coordinate with vendors for office supplies and maintenance.
- Respond promptly to client inquiries via phone, email, or walk-ins.
- Provide information about tour packages, travel itineraries, and booking procedures.
- Assist customers in resolving booking issues, payment queries, or travel-related concerns.
- Coordinate with travel agents, airlines, and hotel partners for bookings and confirmations.
- Monitor and update clients about changes in travel schedules, cancellations, or delays.
- Maintain accurate records of bookings, invoices, and travel documents.
- Prepare and manage travel documents such as itineraries, invoices, receipts, and visa forms.
- Generate daily/weekly reports on bookings, payments, and office activities.
- Assist in the preparation of promotional material and internal reports.
- Collaborate with tour managers, guides, and sales teams to ensure client satisfaction.
- Support marketing and sales staff in handling promotional activities and campaigns.
- Support basic financial tasks such as invoice generation, payment follow-ups, and petty cash handling.
- Maintain records of customer payments and receipts in coordination with the accounts department.
- Use travel management software and CRM tools to manage bookings and client interactions.
- Manage official email accounts and ensure timely communication with clients and partners.
- Maintain cleanliness and discipline in the office environment.
- Ensure that all client-facing activities align with the company’s image and customer service standards.
